How to Set Up Mailchimp Integration on Your HootBoard

Our Mailchimp integration allows you to automatically add contacts from your kiosk visitors directly to your Mailchimp audience. Simply provide your Mailchimp API key and audience ID to connect your account. The integration will create new contacts in the specified Mailchimp audience, ensuring your mailing lists stay up to date with the latest visitor information without manual effort.

Getting the API Key:

1. Log in to Mailchimp
   Visit mailchimp.com and sign in to your Mailchimp account using your email and password. Complete two-factor authentication if enabled.

2. Navigate to Account Settings
   Click your profile icon in the top-right corner of the dashboard, then select Account & billing from the dropdown menu.

3. Access API Key
   In the Account & billing section, click Extras in the left-hand menu, then select API keys.

4. Generate a New API Key
   Click the Create A Key button. Give the key a descriptive name (e.g., “HootBoard Integration”) to identify its purpose later.

5. Copy the API Key
   Once generated, copy the API key immediately by clicking Copy Key to Clipboard. Store it securely, as you won’t be able to view the full key again after leaving the page.

NOTE: Note: Only users with Manager or Admin permissions can generate API keys. Admin users can also view keys created by others. Treat the API key like a password and avoid sharing it publicly. If a key is compromised, you can revoke it and generate a new one.

Getting the Audience ID:

1. Go to the Audience Section
   From the Mailchimp dashboard, click Audience in the left-hand sidebar to access the audience dashboard.

2. Select the Desired Audience
   If you have multiple audiences, click the Audience dropdown and choose the one you want to use for the integration.

3. Access Audience Settings
   Click the More options dropdown (or a similar button, often an arrow or three dots next to the audience name), then select Audience settings.

4. Find the Audience ID
   Scroll down the settings page to locate the Audience ID (also called List ID). It will be displayed in a table or labeled clearly. Click the copy icon to copy the ID to your clipboard for use in your integration.

NOTE: If you don’t have an audience yet, create one by clicking Create Audience in the audience dashboard and filling in the required details. The Audience ID is unique to each audience and is required for the integration to specify where contacts will be added.

Setting up the Integration:

1. Log in to Your Account
   Start by signing in to your account.

2. Navigate to Your HootBoard
   Click on your HootBoard from My Boards page.

3. Access Apps & Integrations
   On the admin panel. Click on the Apps & Integrations option.

   

4. Explore Integrations and Services
   In the Apps & Integrations area, you’ll find the Integrations and Services tab. Click it to view a list of all available integrations, including those you’ve already installed. This is your one-stop shop for connecting external content sources to your HootBoard.

   

5. Select the Mailchimp Integration
   Use the search bar to find the Mailchimp integration. Click on the Mailchimp option to start the setup process.

6. Enter Credentials
   In the setup window, you’ll be prompted to enter the both API Key & Audience ID. Use the credentials we gathered from Mailchimp account. Invalid API key will prevent the integration from working, so take a moment to ensure accuracy.

7. Install the Integration
   Once you’ve configured the settings, click the Install Integration button to finalize the setup. This will activate the integration, connecting your Mailchimp account to your HootBoard.

8. Your Mailchimp Integration Is Active!
   Congratulations! Your Mailchimp integration is now up and running. Whenever there’s new data, your HootBoard will automatically pull it and send it to your Mailchimp account. Updates typically appear within 15 minutes.
